Summary of Position
College Access Plan (CAP) seeks to hire one Middle School Program Coordinator. Under the direct supervision of the Director of Programs , this person is responsible for (1) leading interactive and creative daytime and after school programs for groups of up to 30 students; (2) leading outreach and recruitment efforts, (3) reviewing and updating curriculum; and (4) fostering and maintaining collaborative partnerships with other CAP teams, school administrators, counselors, teachers, and community partners. All programs occur on campus at Pasadena Unified School District (PUSD) elementary and middle schools.
The Program Coordinator is energetic and creative, a team player who is engaging and eager to collaborate with partners to support the college aspirations of first-generation college-going and low-income students. With an eye towards equitable access to postsecondary education for all, the Program Coordinator’s primary focus is to prepare and support underserved elementary and middle school students for success in higher education and to support and engage their families in accordance with the organization’s mission.
Responsibilities
Direct Service
- Directly facilitate in-class and after school programming;
- Create and deliver interactive, engaging and effective workshops;
- Maintain on-campus after school program space, including the direct supervision of students in the program;
- Assist in coordinating activities with program partners
- Support students in the summer SKILLZ program partnership with one-on-one advising;
- Copy and prepare program materials;
- Set appointments with students and send reminders;
- Monitor student grades/credits to promote completion of middle school course requirements;
- Monitor program success, including levels of participation, quality of activities, and impact;
- Recognize and celebrate student success.
Project Management:
- Coordinated recruitment, application, and enrollment process of assigned program;
- Assist in developing curriculum and materials for middle school programming;
- Data Entry and record keeping;
- Consistently and accurately collect and maintain student records and data via Salesforce;
- Maintain accurate and complete records of student data and participation in CAP activities and aid in evaluating results;
- Treat student personal information with sensitivity and maintain FERPA standards of privacy for all student records;
- Serve as on-site liaison for site administrators and staff, and for assigned volunteers;
- Attend pertinent meetings, workshops, or other events at PUSD middle schools;
- Coordinate with staff to identify opportunities to inform teachers and staff of CAP’s existing programs on PUSD school sites and help to execute vision;
- Create outreach materials targeting middle school students.
Recruitment and Outreach:
- Work with the Director of Programs to build and strengthen relationships with district and community partners;
- Work with all staff to support a cohesive 5th grade through college graduation pipeline;
- Schedule and deliver classroom and community presentations about CAP programs and critical college readiness items;
- Cultivate robust relationships across school sites with district principals, counselors, and teachers;
- Conduct personalized outreach and respond to student questions and requests via email, text, and phone;
- Coordinate outreach and recruitment efforts for assigned programs, including designing informational flyers, tabling at school and community events, and promoting student success on CAP website and social media platforms;
- Represent CAP at school events, community events, and local college fairs
- Collaborate with PUSD staff in support of CAP’s ongoing partnership;
- Support students with use of California Colleges and Thrively;
- Attend community meetings as assigned.
Required Qualifications
- Must be available 9-5pm with some flex hours for evening meetings and events
- Bachelor’s degree minimum
- Dynamic, interactive professional with a strong desire to work directly with elementary and middle school students in both one-on-one and large classroom settings
- Basic knowledge of high school requirements, postsecondary education options, application procedures, and admission requirements
- Strong ability to communicate verbally and in writing with students, parents, volunteers, school staff, and faculty
- Experience with basic office software, Google Suite, MAC OS, and common social media platforms
- Well-developed organizational skills with a strong orientation to detail
- Creative and critical thinker with desire to learn
- Reliable transportation and proof of auto insurance
Additional Desired Qualifications
- Experience working with/in programs tailored to reach and support low-income students of color (strongly preferred)
- Experience advising students in a college access setting
- Experience with Salesforce
- Familiarity with the Pasadena community
- Fluent in a language other than English
